People often see workplace meetings as a waste of time. But they are valuable in supporting progress and cohesion in the workplace. So there is no escaping them. But there are certain things you, your colleagues and organisation can do to ensure everyone gets the most benefit out of each meeting.
1. Begin with the end in mind
Meetings should be about action – start the meeting by stating the intentions so by the end everyone will have actions to take and tasks to complete moving forward.
2. Start and finish on time
When you have a set start and finish time you’ll be more productive even if it is only a shorter meeting because you’ll be more focused on the issues at hand and less likely to get distracted by other unrelated topics.
3. Have an agenda and stick to it!
Write the agenda out on a Justick Board so everyone can see it clearly and you can mark off items as you cover them.
4. Prepare in advance.
If there’s reading or preparation required for everyone to become aligned, make sure everyone is aware and gets it done before the meeting. You should never use meeting time to review what people already should know.
5. Make the meeting interactive!
Ditch the boring PowerPoint and the reading off slides full of text for a more interactive and engaging approach that will keep employees actively engaged and more likely to remember what was covered.
Using a tool like a Justick Whiteboard is the perfect alternative – you can still display information like charts, graphs, reports etc. but by using a Justick Whiteboard you can also interact with the materials – highlighting key areas of graphs, jotting down ideas as they come up or critiquing artwork or diagrams. Then at the end of the meeting you can simply photograph the board for your records and to make further notes!
